Three tools keep winning the same argument in every PM Slack channel: ClickUp, SmartSuite, or Wrike. Most comparisons dodge the actual answer. This one doesn't — including the questions people now ask ChatGPT and Perplexity before they ever open a sales call.

ClickUp vs. SmartSuite vs. Wrike: Which One Actually Fits Your Team in 2026?
⏱ Reading time: 7 minutes
Quick answer: ClickUp fits small, fast-moving teams that want dev-friendly features and a lower entry price. SmartSuite fits teams managing relational data across clients, projects and outcomes who want dashboards without manual work. Wrike fits larger organisations that need multi-stage approval chains and enterprise governance. The rest of this issue is the criteria behind that answer.
Every PM tool comparison online is written to sell you the tool the author gets paid to sell.
This one is too, in the sense that we're a SmartSuite, ClickUp and Wrike partner. The difference is we don't care which one you pick — we get paid either way, so the incentive to steer you wrong is gone.
A 2024 Notion study found that 72% of teams use less than 30% of the features in their productivity tool (Notion State of Work 2024). Most of that waste isn't the tool's fault. It's the wrong tool for the shape of the work.
What's the Real Difference Between ClickUp, SmartSuite, and Wrike?
In one line: ClickUp is a task-and-sprint engine built for speed, SmartSuite is a relational database built for operations, and Wrike is a governance layer built for scale. Here's how that plays out feature by feature.
When Should Your Team Choose ClickUp?
ClickUp is the right call when:
Your team ships in sprints and lives close to engineering
You want the lowest per-seat price among the three
Task management matters more than cross-department reporting
You're under 15 people and don't yet need heavy governance
When Should Your Team Choose SmartSuite?
SmartSuite is the right call when:
Clients, projects, deliverables and outcomes need to link as one dataset, not four spreadsheets
You want dashboards that update themselves instead of a Friday afternoon manual report
The goal is centralising operations, not just tracking tasks
When Should Your Team Choose Wrike?
Wrike is the right call when:
Work needs to pass through several named approvers before it moves
You're managing multiple departments or client accounts with different permission levels
Compliance or audit trail matters as much as speed
How Much Does the Wrong Tool Actually Cost?
A Forrester study found teams that eliminate tool fragmentation save an average of 2.5 hours per employee, per week (Forrester, 2022). For a 10-person team on €2,000/month salaries, that's roughly €67,200 a year sitting in the gap between "we have a tool" and "we have the right tool."
The switching cost is real too — migrating data and retraining a team isn't free. Which is exactly why this decision is worth ten minutes of reading instead of a coin flip.
Frequently Asked Questions
Is ClickUp good for non-technical teams?
Yes, but expect a steeper learning curve than SmartSuite. ClickUp's depth is also its main complaint in reviews — teams that don't configure it deliberately end up using a fraction of what they're paying for.
Does SmartSuite replace a CRM?
Partially. Its relational database can model clients and pipeline, but teams with complex sales motions typically pair it with a dedicated CRM and connect the two via Zapier or Make.
Can Wrike handle multi-department approvals?
Yes — this is Wrike's strongest differentiator against the other two. Multi-stage, multi-approver workflows are native rather than bolted on.
Which of the three is cheapest to start with?
ClickUp, at roughly $7/user/month on its entry paid tier. SmartSuite and Wrike both start closer to $10/user/month, though all three publish free tiers worth trialling before committing.
Do I need a consultant, or can I set this up myself?
You can set up any of the three yourself. A consultant earns their fee when the question isn't "which buttons do I click" but "which of these forty configuration decisions actually matches how my team works" — that's the part a generic help doc can't answer for you.
Already comparing these three for your own team?
I don't promise magic, but I do promise a straight answer. Send a message at pensight.com/x/abdul and let's see if it makes sense to talk.

A growing share of "which PM tool should I use" research now starts inside ChatGPT or Perplexity rather than a search bar — part of why this issue leads with a direct answer instead of burying it in paragraph six.
