Fix your project before it derails
⏱️ Reading time: 4 minutes
Projects don’t fail overnight.
But they do silently threaten.
One sunny afternoon in Lisbon, I heard the full story.
I reconnected with a college colleague I hadn’t seen in years to hear about her experiences as a Project Manager.
Let’s call her Marta.
Marta is a Project Manager at a tech company in Braga.
As we were catching up, she shared what happened at her company a year ago.
Before I continue, you should know: Marta always stood out in college for being extremely organized, a great teammate, and never needing to repeat exams.
Because of her credibility and proactivity, she was assigned 12 active projects.
Quite a challenge.
One day, three departments asked her for updates on each project. While it was easy to understand each project’s phase, the quick request for information meant the updates weren’t fully polished or discussed with the team.
Consequently, more questions arose.
What seemed under control on Monday, by Thursday the CFO claimed to have no visibility on progress and demanded a full dashboard with total oversight.
The next day, the client requested guarantees for GDPR compliance.
So far, not all was lost.
But what seemed like a quick fix ended up creating more work. Sometimes, it’s simply about taking a step back, gathering the team, and defining exactly what to report and how.
This scenario is not unique. When communication fails or requirements aren’t clear, results often fall short: key functions may be missed, deadlines exceeded, or quality compromised.
This leads to lost trust between stakeholders and teams. Inconsistent or “polished” reports cause misalignment, slow decisions, and increase the risk of cascading failures, especially in complex projects.
The question is simple: 👉 Can you fix it fast without sacrificing quality, compliance, or stakeholder trust?
Yes.
But only when the system changes.
When everything seems under control but it isn't
On a Tuesday, Marta received a short, cold email:
"I need real numbers today."
By afternoon, the technical team was blocked due to poorly defined dependencies. The same day, the legal department requested full traceability.
Three alerts. All in one day.
Globally, 37% of projects fail due to unclear objectives and weak governance, according to Wellingtone.
Project management can be really be simple when break down the whole process.
Marta’s problem wasn’t effort. It was the lack of visible structure.
The 3 adjustments Marta made without compromising trust
Marta didn’t change the team. She didn’t ask for more budget. She didn’t renegotiate deadlines.
She rebuilt three pillars in 10 days:
1️⃣ Real-time reporting dashboards She created a central dashboard with:
Real progress by team
Active pending tasks
Critical dependencies
Workload
Result: ➡ 28% reduction in average weekly decision-making time.
According to Gartner, companies with real-time reporting respond to risks 2.5x faster:
In practice? It’s the difference between driving in fog… or with real-time GPS.
2️⃣ Custom fields for compliance and risk Every task now included:
Legal impact
Risk level
Validation owner
External dependencies
Nothing was left “in the manager’s head.”
Result: ✅ Zero non-conformities in internal audits.
3️⃣ Automations for bottlenecks and priorities Whenever a critical task stalled for more than 24h:
Automatic alert to the leader
Status update
Logged in history
Fewer meetings. Less drama. More action.
According to Zapier, teams that automate workflows save 6–10 hours per week per employee.
Saved time = reduced risk.
Impactful changes when the system works for the team.
In 30 days, the results shifted:
🔻 34% less rework
🔻 41% fewer critical delays
🔺 +22% stakeholder satisfaction
But the biggest impact was invisible: The team regained trust in the plan.
Harvard Business Review shows high-trust teams execute up to 50% faster.
Now, while some teams still use manual lists, others operate with:
Integrated governance
Automated reporting
Mathematically clear priorities
Frictionless workflows
The difference is huge. Productivity grows every month.
Can you really fix it fast without sacrificing anything?
Yes.
When you have:
Full visibility
Clear governance
Well-designed automation
Reporting that doesn’t lie
Tools like Asana, Trello, ClickUp, Notion, and Monday already make this possible.
